How to Create and Use a Virtual Room

Note*: Originally, Ample Organics conceived Virtual Rooms as a workaround to accommodate limited destruction options. Since then, Ample Organics has added the Destruction module and several new destruction methods to facilitate the Destruction Process. In the current version of the Seed-to-Sale software, a Virtual Room is only useful in cases where a licence holder labels plants individually and needs to destroy several specific plants. If the licence holder does not label plants individually, Destroying Plants at the Batch Level is a much faster process.* Occasionally, a Grow Technician may need to destroy a large number of specific plants from a single batch. This can be an extremely time-consuming process, as the technician must log the weight and reason for destruction for each individual plant to be destroyed. To expedite this process, the technician can create a Virtual Room. A Virtual Room is a virtual location to which a Grow Technician can move all plants slated for destruction. This allows the technician to *mark* plants for destruction and destroy the plants at a later time. When that time comes, the plants can be destroyed in a single action. Virtual Rooms are also useful for other functions, like selecting plants to mark as Mothers or separating a batch into two parts to facilitate a batch split. Required permission(s): location_create, plant_update 1. Follow the procedure to Create a New Grow Room, and name the room "Virtual Destruction Room" or "Virtual Room". mceclip0.png 2. Follow the procedure to Destroy Plants using the Gun App. - When selecting a subset of plants, select the Virtual Room as the location. If a plant is destroyed in error, visit the Grow module to Restore the Plant.

Setting Up Rooms & Locations

Before getting started with Grow module tasks, Grow Technicians must set up basic grow rooms to organize plants through the stages of cultivation. Each grow room saved to the Rooms & Locations tab should correspond to an actual room or location at the cannabis cultivator's grow facility. [img rooms-and-locations] Each grow room may have any number of child locations. A child location is a sub-location within a location, such as a row, table, or shelf. When setting up child locations, use a simple naming convention, and avoid using the same names or numbers across locations. Based on experience with cannabis cultivators of all sizes, Ample Organics has prepared some general guidelines of rooms to include, and possible naming conventions for child locations: - 1 Mother Room: A location to house Mother plants. - A child location in the Mother Room might be called M-Table1, M-Row1, etc. - 1 Germination Room: A location to germinate seeds. - A child location in the Germination Room might be called G-Table1, G-Row1, etc. - 1-2 Propagation Rooms: A location to house plants in the Propagation stage. - A child location in a Propagation Room might be called P-Table1, P-Row1, etc. If the facility has more than one Propagation Room, avoid using the same table or row numbers in multiple rooms. - 2-3 Vegetation Rooms: A location to house plants in the Vegetation stage. - A child location in the Vegetation Room might be called V-Table1, V-Row1, etc. If the facility has more than one Vegetation Room, avoid using the same table or row numbers in multiple rooms. - 2-3 Flowering Rooms: A location to house plants in the Flowering stage. - A child location in the Flowering Room might be called F-Table1, F-Row1, etc. If the facility has more than one Flowering Room, avoid using the same table or row numbers in multiple rooms. - 1 Research & Development Room: A room for research and product development. - A child location in the R&D Room might be called RD-Table1, RD-Row1, etc. Visit the Rooms & Locations tab to Create a New Location or Child Location.

Location Profile

The Location Profile displays detailed information and actions for a specific location. The Location Profile splits into two tabs: Overview and Destruction. When a Grow Technician opens a Location Profile, the Overview tab opens by default. Overview Tab mceclip0.png The Overview tab summarizes the contents of the location, including the total plant count and the number of plants in each stage of cultivation. The Batches section lists the batches or batch subsets–also known as Grows–housed in the location. Select a Grow to visit the Grow's Profile. The Child Locations section lists all Child Locations associated with the location. Select a Child Location to visit the Child's Location Profile. Some licence holders purchase live plants from other producers to introduce new cannabis strains and genetic information to their facility. After acquiring a batch purchased wholesale, a Grow Technician can save the batch directly to a Location Profile. To Create a New Wholesale Batch in the location, click New (Wholesale) in the Batches section. To Create a New Child Location, click New in the Child Locations section. Destruction Tab mceclip1.png The Destruction tab tracks all Grow Room waste destructions associated with the location. Over the course of cannabis production, plants may shed leaves or require trimming, and this small amount of waste from all plants within a single location is known as Grow Room waste. Click New to Destroy Grow Room Waste. If an error occurs, click the icon to Revert the Grow Room Waste Destruction. Grow Technicians can also Destroy Grow Room Waste using the Gun App. Destroying material on the Destruction tab does not affect plant ID numbers. To destroy plants from the batch, visit the Grow Room module on the Gun App to Destroy a Batch Subset, or visit the Plant Profile to Destroy Plants Individually. Location Menu mceclip2.png From either tab, access a menu of options for the location by clicking the mceclip3.png icon. These options include: - Move Location: Move the Location to a New Parent, or upgrade a Child Location to a top-level location. - Edit Name:Change the location's name. - Print Label: Print a Barcode Label for the Location. - Print Labels for Children: Print Labels for All Child Locations. Visit the Gun App to Move Plants or Batch Subsets between locations.

Harvest Profile

The Harvest Profile displays detailed information and actions for a specific harvest. The Harvest Profile splits into four tabs: Overview, Plants Harvested, Weight Events, and Destruction. When a Grow Technician opens a Harvest Profile, the Overview tab opens by default. Overview Tab mceclip0.png The Overview tab summarizes essential details of the harvest, including the destination Bulk Lot, the date the harvest was opened, and the user who opened the harvest. If the harvest is Closed, the Overview tab will list the date the harvest was closed, and the user who closed the harvest. The Plants Harvested status bar compares the number of harvested plants against the total number of plants in the batch. The status bar fills with green as plants are harvested. The Weight Breakdown status bar displays and organizes the total plant weight harvested in the harvest event. The harvested fresh weight, which is the usable fresh bulk cannabis transferred to the destination Bulk Lot, appears in green. Destroyed material, the unusable plant waste, appears in gold. Unaccounted weight appears in white. Ideally, the harvest should have no unaccounted weight. As Grow Technicians harvest plants, they may document the aggregate weight of all harvested material rather than the weight for each individual plant. The Average Yield section displays the calculated average pre-trimming weight, fresh Bulk Lot output, and destroyed weight per plant based on the total reported figures. mceclip1.pngmceclip3.png A harvest will have one of two statuses: Open or Closed. If the harvest is Open, it means the harvest event is still in progress and the total harvested weight can still be edited. If the harvest is Closed, it means the harvest has been finalized, with no further edits permitted to weight or plants harvested. If the harvest is Open, click Close to Close the Harvest. If the harvest is Closed, the Close button is replaced by a Reopen button. Click Reopen to reopen the harvest. Click Report to generate a harvest report in PDF format. The harvest report includes the number of plants harvested, the destination Bulk Lot, and the current total weight of all harvested or destroyed plants. Plants Harvested Tab mceclip4.png The Plants Harvested tab tracks all harvested plants in the batch. The index displays high-level information on each harvested plant, including: - ID: The plant's unique ID number. - Parent: The plant's parent. If the plant was created through cuttings, the parent link will lead to the Mother Plant's Profile. If the plant was created from seeds, the parent link will lead to the Seed Lot's Profile. If the plant was purchased wholesale, the parent column will be blank. - Location: The plant's pre-harvest location. - Plant Weight: The weight harvested from the plant, in grams. - Date Harvested: The date on which the plant was harvested. Weight Events Tab mceclip5.png The Weight Events tab tracks all events that affect the total weight of the harvest. Weight events are associated with the destination Bulk Lot, which allows for accurate record keeping. The Weight Events tab displays high-level information on each weight event, including: - Running Total: The harvest weight's running total. - Weight: The weight added or subtracted. - Description: A brief description of the weight event. - Inventory Weight: Indicates whether or not the weight event affects inventory weight. - Date: The date on which the weight event took place. - Created By: The user who performed the weight event. As part of a harvest, Grow Technicians output fresh cannabis weight to a Bulk Lot for processing. If the output is recorded incorrectly, Return the Bulk Lot Output Weight to the harvest from the menu. mceclip0.png Destruction Tab mceclip6.png The Destruction tab tracks all waste destructions associated with the harvest. As plants are harvested, Grow Technicians separate the usable parts of the cannabis plant from unusable plant waste, and this waste must be destroyed. Harvest destructions, along with most harvest activities, take place during the Harvest Process on the Gun App. However, Grow Technicians can Revert Harvest Destructions from the Destruction tab if waste is destroyed in error. Visit the Gun App to Open a Harvest and Harvest Plants. Grow Technicans can also Open Harvests through the Seed-to-Sale web platform.

How to Destroy Batch Waste

Over the course of cannabis production, plants may shed leaves or require trimming, and this small amount of waste across all plants in a batch known as batch waste. Follow the steps below to record and destroy batch waste. Required permission(s): batch_read, batch_update, destruction_lot_update Note*: Grow Technicians can also perform this process through the Gun App.* 1. In the Grow module, open the Batches tab. [img batches] 2. Select a batch to open the Batch's Profile. [img batch-profile] 3. Open the Destruction tab. [img batch-destruction] 4. Click New. This opens a Record Plant Waste modal. mceclip2.png 5. Enter information about the destruction in the fields provided. mceclip3.png - Destroyed Weight: The total weight, in grams, of the waste. - Substance Destroyed: The substance to be destroyed. - See How to Add a Destruction Substance Type for further instructions. - Reason Code: The reason for the destruction. - See How to Add a Destruction Reason Code for further instructions. - Destruction Lot: The Destruction Lot and sublot into which the waste will be discarded. - See How to Create a New Destruction Lot or How to Create a New Sublot for further instructions. 6. Grow (Batch Subset) Profile

The Grow Profile hosts information and actions for a specific grow, also known as a batch subset. If plants in a batch mature at different rates, Grow Technicians may move the mature plants to a new grow room to expose them to new environmental conditions, and leave the straggling plants in their current grow room. This divides the batch between two locations, and the batch subset in each location is known as a Grow. This is not the same as Splitting a Batch through the Gun App, in which a Grow Technician splits a batch into two or more distinct batches. If Grow Technicians divide batch plants into multiple locations, the plants are still considered part of the same parent batch. A Grow Profile, unlike a Batch Profile, does not split information between multiple tabs. mceclip0.png A Grow's Profile displays basic information about the grow, including the parent batch's name and type, and the strain, number, age, and stage(s) of plants in the grow. Click Edit to change the batch's name, or select a new batch type from the drop-down menu. However, keep in mind that changing these fields on the Grow Profile affects the parent batch's name and type as well. The Plants section lists all plants in the grow. To put it another way, this section identifies which plants from the parent batch are housed in the specified location. Here, a Grow Technician has access to high-level information about each plant, including: - ID: The plant's ID number. - Strain: The plant's cannabis strain. - Birthday: The plant's date of birth. - Stick Week: The week of the plant's creation. If the plant's Stick Week is 43, it means the plant was created in the 43rd week of the calendar year. - Age: The plant's age, in days and weeks. - Parent: The plant's parent. If the plant was created through cuttings, the parent link will lead to the Mother Plant's Profile. If the plant was created from seeds, the parent link will lead to the Seed Lot's Profile. If the plant was purchased wholesale, the parent column will say Unknown Owner. - Stage: The plant's stage of cultivation. Select a plant to open the Plant's Profile. A grow is a subset of a larger parent batch. To access information about the parent batch, click View Entire Batch to visit the Batch's Profile. Grow Menu mceclip1.png Access a menu of options for the grow by clicking the icon. Most of these options are the same as those found in the menu on a Batch Profile. However, the Grow menu also presents a handful of unique options: - View Batch Report: Generate a Batch Overview Report. - Open Harvest: Open the Batch for Harvest. - Note*: This option only appears if the batch is in the Flowering stage. However, Ample Organics recommends Grow Technicians Open Harvests through the Gun App.* - Print Batch Tag: Print a Batch Tag. - Print Plant Labels: Print Barcodes for a Range of Plants in the Grow. - Advance Current Subset: Advance all Plants in the Grow. - Destroy Plants: Destroy the Batch Subset. - Restore Plants: Restore Destroyed Plants. - Archive Batch: Archive the batch subset. - Mark for Wholesale: Mark all Plants in the Batch for Wholesale. - Note*: This action affects the entire batch, not just the grow.* Visit the Gun App to Move a Batch or Batch Subset.

How to Restore a Batch Subset

If a batch subset–also known as a Grow–is destroyed in error, follow this process to restore the Grow. Required permission(s): batch_read, plant_restore 1. In the Grow module, open the Batches tab. [img batches] 2. Click the Archived radio button to display all archived batches and grows. mceclip1.png 3. Select an archived Grow to open the Overview tab on the Grow's Profile. - Note*: Batches and Grows are marked as archived when they are sold wholesale, harvested, or destroyed. Take care to select a Grow that has been destroyed.* mceclip2.png 4. Click the mceclip3.png icon to open a menu of options. mceclip4.png 5. Select Restore Plants. This opens the Restore Destroyed Plants modal. mceclip5.png 6. In the Stage section, click one of the radio buttons to select the stage of the plants to restore. A Grow Technician can select a single stage to restore, or restore plants from all stages by clicking All. mceclip6.png 7. In the Location section, click one or more radio buttons to select the location(s) of the plants to restore. A Grow Technician can select all locations by clicking All. mceclip7.png 8. In the Destruction Date section, click one or more radio buttons to select the destruction date(s) of the plants to restore. A Grow Technician can select all destruction dates by clicking All. mceclip8.png 9. In the Quantity section, indicate the number of plants to restore. The All radio button is selected by default, but a Grow Technician can also click the Other Amount radio button and enter a custom amount in the field below. mceclip9.png 10. In the Destruction Weight section, click one of the radio buttons to indicate whether or not to remove the input weight from the Destruction Lot. - If removing the input weight from the Destruction Lot: 1. Click Remove Input Weight from Destruction Lot. Additional destruction fields will appear. mceclip10.png 2. Enter the weight, in grams, to remove from the Destruction Lot in the field provided 3. Open the Reason Code drop-down menu, and select a Destruction Reason Code. 4. Open the Substance Destroyed drop-down menu, and select the Destroyed Substance. 11. Batch Profile

The Batch Profile displays detailed information and actions for a specific batch. The Batch Profile splits into four tabs: Overview, Plants, Destruction, and Harvests. The Harvests tab only appears if the batch has been opened for harvest. When a Grow Technician opens a Batch Profile, the Overview tab opens by default. Overview Tab [img batch-profile] The Overview tab displays basic information about the batch, including the batch's ID, type, source, cannabis strain, age, plant count, current stage(s) of cultivation, pot type, plant locations, and the method by which the batch was created. A Grow Technician can edit a batch's ID and type at any time. If the batch was created from plants purchased wholesale, a Grow Technician can also Update the Batch's Source. The Events section tracks all major events in the batch's life cycle, including creation, advancement through cultivation stages, movement, weight changes or destruction events, and harvesting. Click Report to generate a CSV report of the batch's History Events. Plants Tab mceclip0.png The Plants tab tracks all living plants in the batch. The Living Plants index displays high-level information on each living plant, including: - Plant: The plant's ID number. - "Mother" will appear next to the plant's ID number if the plant is marked as a Mother. - Strain: The plant's cannabis strain. - Birthday: The plant's date of birth. - Age: The plant's age, in days and weeks. - Parent: The plant's parent. If the plant was created through cuttings, the parent link will lead to the Mother Plant's Profile. If the plant was created from seeds, the parent link will lead to the Seed Lot's Profile. If the plant was purchased wholesale, the parent column will be blank. - Location: The plant's location. Click the location link to visit the Location's Profile. - Stage: The plant's stage of cultivation. - Status: Each plant will have one of four statuses: Living, Harvested, Sold, and Destroyed. Over the normal course of cannabis production, plants may shed leaves or require trimming, and this small amount of waste from all plants within a single batch is known as batch waste. Click New to Destroy Batch Waste. If an error occurs, click Revert to Restore the Destroyed Material. Destroying material on the Destruction tab does not affect plant ID numbers. To destroy plants from the batch, visit the Grow Room module on the Gun App to Destroy a Batch Subset, or visit the Plant Profile to Destroy Plants Individually. Harvests Tab If the batch has been opened for harvest, a red Harvest Open banner will appear on the batch's Overview tab. Clicking into the Harvest tab does not open a new tab on the Batch Profile. Instead, it brings the Grow Technician to the associated Harvest's Profile. Batch Menu [img batch-menu] From any tab, access a menu of options for the batch by clicking the mceclip6.png icon. These options include: - View Batch Report: Generate a Batch Overview Report. - Print Batch Tag: Print a Batch Tag. - Print Plant Labels: Print a Range of Plant Labels. - Archive Batch:Archive the batch. - Mark for Wholesale: Mark all Plants in the Batch for Wholesale. - Restore Plants: Restore Destroyed Plants. This option only appears if any plants from the batch have been destroyed. - Open Harvest: Open the Batch for Harvest. This option only appears if the batch has plants in the Flowering stage. Visit the Gun App to Split the Batch or Combine Two Batches. A Grow Technician can create a new batch from Wholesale Plants, by Planting Seeds from a Seed Lot, or by Taking Cuttings from a Mother Plant. Cutting events can be recorded though the Seed-to-Sale web application or through the Scanner Gun.

How to Destroy a Grow (Batch Subset)

If a batch is too large to fit in a single location, Grow Technicians may divide the batch between multiple locations into batch subsets known as Grows. If the plants in a Grow are infected or otherwise unfit for production, a Grow Technician can destroy the Grow. Please note that destroying a Grow destroys all plants in the Grow. To specify the number of plants to destroy, visit the Gun App and Destroy Multiple Plants from a Single Batch. Required permission(s): batch_read, plant_archive 1. In the Grow module, open the Rooms & Locations tab. [img rooms-and-locations] 2. Select a location to open the Location's Profile. [img location-profile] 3. Select a batch subset–also known as a Grow–to open the Grow's Profile. mceclip2.png 4. Click the mceclip3.png icon to open a menu of options. mceclip4.png 5. Select Destroy Plants. Seed Lot Profile

The Seed Lot Profile displays detailed information and actions for a specific Seed Lot. Typically, Grow Technicians use Seed Lots to create batches of plants for phenotype selection. Plants grown from seeds are rarely meant for production. mceclip0.png The Lot Overview sidebar displays the Seed Lot's most essential information, including: - Strain: The Seed Lot's cannabis strain. - Type: The Seed Lot's cannabis strain family. - Current Weight: The aggregate weight of all seeds in the Seed Lot. - Seeds: The current number of seeds remaining in the Seed Lot. - Location: The Seed Lot's location. - Source: The Seed Lot's source–Produced, Received - Domestic, or Received - Imported. - Click Edit to Edit the Seed Lot's Source. - Batches Created: The total number of batches created from the Seed Lot. - Total Plants Created: The total number of plants created from the Seed Lot. - Surviving Plants: Living plants created from the Seed Lot; plants that have not been destroyed. The Batches section lists all batches created from the Seed Lot. Click New to Create a New Batch from the Seed Lot, or select a batch to visit the Batch's Profile. The Events section tracks all major events in the Seed Lot's lifecycle, including the lot's creation, batch creations, and any time seeds are added, subtracted, or destroyed. Grow Settings

The Grow module's Settings tab allows Grow Technicians to customize options in the Grow module. There are three sub-tabs within Grow Settings: Strains, Batches, and Plant Pot Types. mceclip1.png Strains The Strains sub-tab displays all cannabis strains and strain families saved to the licence holder's system. A strain–also known as a cultivar–is a cannabis variant bred to bring out specific characteristics. For example, Acapulco Gold and Black Widow are popular strains. Strain families group strains with similar characteristics, such as Indica or Sativa strains. mceclip2.png To Create a New Cannabis Strain or Strain Family, click New in the appropriate section. To archive a strain, click the trash can icon beside the strain. Batches The Batches sub-tab displays all Batch Types saved to the licence holder's system. Grow Technicians designate batches for specific purposes, and the Batch Type describes this purpose. For example, some batches are specifically for production, while other batches are test batches for research and development. mceclip3.png To Create a New Batch Type, click New. Plant Pot Types The Plant Pot Types tab displays all pots or containers used to cultivate cannabis plants. How to Record Waste from a Plant – Grow Module

Over the course of cannabis production, plant waste occurs when plants shed leaves or require pruning. Follow the steps below to record waste from an individual plant. A Grow Technician can also record plant waste through the Gun App. Required permission(s): plant_read, plant_archive 1. In the Grow module, open the Propagation tab. [img propagation] 2. Select the Plant Search sub-tab. [img plant-search] 3. Select a plant from the index to open the Plant's Profile. - Note*: Quickly locate a specific plant by entering its ID number in the Search bar.* [img plant-profile] 4. Open the Destruction tab. [img plant-profile-destruction] 5. Click Record Waste. This opens the Record Plant Waste modal. mceclip4.png 6. Enter information about the destruction in the fields provided. mceclip5.png - Destroyed Weight: The total weight of plant matter to destroy. - Substance Destroyed: The substance to destroy. - Visit the Destruction module to Add a New Destruction Substance Type. - Reason Code: The reason for the destruction. - Visit the Destruction module to Add a New Destruction Reason Code. - Destruction Lot: The Destruction Lot and sublot that will store the destroyed material. 7. Rooms & Locations Tab

Grow Technicians use the Rooms & Locations tab to manage the Grow Rooms and locations in their facility. A Grow Room is any room dedicated to growing and caring for cannabis plants. A Grow Room is a top-level location that can contain any number of Child Locations–a row, table, or shelf within the room. Adding Child Locations allows Grow Technicians to be specific about a plant's exact location in a Grow Room. Depending on the licence holder's needs, Child Locations may be broken down to include Child Locations of their own, such as a section on a table or a shelf on a rack. There is no limit to the number of Child Locations each location can contains. As a best practice, licence holders should create a maximum of 200 distinct locations. Each Child Location is indented to indicate that it is a child of the unindented parent location above it. The index lists high-level information on each location, including: - Location: The location's name. - Own Plants: The number of plants in the specific location. - All Plants: The total number of plants in the specific location and its Child Locations. - Locations: The number of Child Locations within the location. - Strains: The number of cannabis strains in the location. - Created: The date on which the location was created. How to Restore a Destroyed Plant

If a Grow Technician destroys a plant in error, follow this process to reverse the destruction. Please note that this process restores an entire plant that has been marked as destroyed. The process to Revert a Plant Waste Destruction–a destruction in which the entire plant is not destroyed, like trimming moldy leaves–is slightly different. Note*: A plant moves to the Archived status once it has been destroyed, harvested, or claimed for wholesale. You cannot unarchive a plant that has been harvested or claimed for wholesale, so this process will only work for plants that have been destroyed.* Required permission(s): plant_read, plant_restore 1. In the Grow module, open the Propagation tab. [img propagation] 2. Select the Plant Search sub-tab. [img plant-search] 3. Click the All radio button to include archived plants in the search results. mceclip2.png 4. How to Print a Batch Tag – Grow Module

After creating a new batch of cannabis plants, a Grow Technician should immediately print batch tags for the batch. Labelling a batch with a tag serves two distinct purposes: First, labels identify the batch by its unique name and ID number. Secondly, and most importantly, each label includes a unique barcode that Grow Technicians can scan to interact with the batch through the Gun App. Batch labelling practices differ between licensed cannabis cultivators. Cultivators who don't Label Plants with individual plant ID tags may label each plant in the batch with a batch tag. However, cultivators who do label plants with individual plant ID tags may print a single batch tag to affix to a shelf or table, to indicate that all plants in the location belong to the same batch. How to Move Seeds Between Seed Lots

A cannabis cultivation facility may have multiple Seed Lots of the same cannabis strain that serve different purposes. To balance the seed count in Seed Lots of the same strain, Grow Technicians can move seeds between Seed Lots. Note*: When moving seeds between Seed Lots with different sources, the moved seeds will adopt the source of the destination Seed Lot.* Required permission(s): seed_lot_read, strain_read, seed_lot_update 1. Enter the quantity and weight of seeds to move in the fields provided, and select a destination Seed Lot. How to Create a Batch from Wholesale Plants

In addition to growing plants from seeds or taking cuttings from Mother plants, a licence holder may create a batch by purchasing plants from another licence holder. This is a common method of introducing new genetic material to a grow facility. Required permission(s): batch_read, batch_create 1. In the Grow module, open the Batches tab. mceclip1.png 2. Click New (Wholesale). This opens the Create Batch from Wholesale Plants modal. mceclip2.png 3. Complete all required fields. mceclip3.png - Name:A unique name for the batch. - Strain: The cannabis strain. - If the plants' strain is not listed, visit the Grow Settings tab to Add a New Cannabis Strain. - Type: The Batch's Type. This indicates the batch's intended purpose. - Visit the Grow Settings tab to Add a New Batch Type. - Plant Count: The number of plants in the new batch. - Plant Birthday:The date on which the plants were created at the vendor's facility. - Location:The new batch's location. Choose an appropriate grow room for the plants' strain and stage. - Source: The batch's source. Options are: - Received - Domestic: Indicates the plants were purchased from another Canadian producer. - Received - Imported: Indicates the plants were imported from a producer outside Canada. - Stage:The plants' current stage of cultivation. - Mother:Indicates whether or not the plants will be Mothers. 4. Batches Tab

The Batches tab in the Grow module tracks and manages all batches saved to the licence holder's system. A batch is a group of plants of the same strain that are managed together. Typically, all plants in a batch are in the same stage of cultivation, live in the same grow room location, and go through all cultivation activities as a group. However, if the plants in a batch mature at different rates, Grow Technicians may divide the batch between locations into batch subsets known as Grows. This is not the same as Splitting the Batch into two or more distinct batches; A batch with multiple locations still counts as a single batch. mceclip0.png The Batches index displays high-level information for each batch, including: - Batch: The batch's unique name. - Strain: The strain of cannabis in the batch. - Type: The batch's type, which describes the batch's purpose. - *Visit the **Grow Settings*tab to Add a New Batch Type. - Plants: The number of plants in the batch. - Age: The batch's age, in days. - Stick Week: The week of the batch's creation. For example, if the batch's Stick Week is 43, it means the batch was created in the 43rd week of the calendar year. - Location: The batch's location. If the batch is split into Grows in multiple locations, all locations are listed here. - Created Via: The method by which the batch was created. - Stage: The stage(s) of plants in the batch. A Grow Technician can create a new batch from Wholesale Plants, by Planting Seeds from a Seed Lot, or by Taking Cuttings from a Mother Plant. Cutting events can be recorded though the Seed-to-Sale web platform or through the Gun App. Select a batch from the index to access the Batch's Profile. To view archived batches, click the Archived radio button. To quickly locate a specific batch, enter its name or batch ID in the Search bar. Click Print All Batch Labels to print labels for every batch in the system. Propagation Tab

Grow Technicians use the Grow module's Propagation tab to propagate new plants and batches, and to store information on plant propagation materials such as seeds and Mother plants. mceclip0.png The Propagation tab splits into four sub-tabs: Mothers, Plant Search, Cutting Reports, and Seed Lots. Mothers The Mothers sub-tab tracks all Mother plants at the grow facility. A Mother is a plant designated for cloning, one of the primary methods of plant propagation. Grow Technicians take cuttings from Mother plants to grow new batches of genetically identical plants. This is ideal for preserving desirable traits and delivering consistent products to clients. Usually, Grow Technicians identify plants as Mothers when creating a batch of new plants. However, a Grow Technician can Change a Plant's Mother Status or Change a Batch's Mother Status at any time. [img mothers] Sort the index of Mother plants using any one of several fields: - Plant: Sorts the list by plant ID numbers. - Strain: Sorts the list by cannabis strain. - Age: Sorts the list by the Mother plants' age. - Location: Sorts the list by grow room location. Creating a batch from cuttings automatically generates a new Cutting Report, which stores such information as the name of the new batch, the number of Mothers, the number of cuttings taken, and the strain of cannabis. Click New to Create and New Batch from Cuttings. Seed Lots The Seed Lots sub-tab tracks all Seed Lots available at a grow facility. A Seed Lot is a collection of seeds of the same strain used to grow new cannabis plants. Typically, Grow Technicians use plants grown from seeds for phenotype selection or research and development, in the interest of developing the strongest possible Mother plants for production. Grow Technicians usually store Seed Lots in a Vault Location until the seeds are ready for germination. Grow Module

Grow Technicians use the Grow module to manage general cultivation activity happening in real time at their facility. Search and filter to find specific plants, batches, harvests, and locations, and track plants and batches through each stage of cultivation. mceclip0.png The Grow module is divided into six tabs: Overview, Propagation, Batches, Harvests, Room & Locations, and Settings. When a Grow Technician opens the Grow module, the Overview tab opens by default. Overview mceclip1.png The Overview tab displays a summary of all plants, batches, and recent activities within the Grow module. The Overview section lists the total plant count, the total batch count, the number of plants at each stage of cultivation, and the number of designated Mother plants. Click Inventory Report to generate a PDF report of all plant inventory by location. Activity mceclip2.png The Activity section displays the most recent activities in the Grow module, including each time a plant or batch is created, advanced through the stages of cultivation, moved to a new location, harvested, or destroyed. Each entry lists the user involved, the date and time of the activity, a brief description of the activity, and a link to the inventory item(s) affected by the activity. Some activities include several child events. Click Expand to see all events associated with the activity. Several cultivation functions take place exclusively through the Grow Room module on the Gun App.

How to Open a Harvest – Grow Module

Avoid opening a harvest through the Grow module, as plants will remain in the Harvesting status indefinitely, even after the harvest is complete. This is a known bug that will be resolved in time. In the meantime, Open Harvests through the Gun App. Once a batch of plants have spent several weeks in the Flowering stage, a Grow Technician can open the batch for harvest. This process requires the technician to have a Fresh Bulk Lot already created. See How to Create a Bulk Lot for instructions. Required permission(s): batch_read, bulk_lot_read, batch_update 1. In the Grow module, open the Batches tab. [img batches] 2. Select a batch. - Note*: Only batches in the Flowering stage can be opened for harvest. Click Use Existing Bulk Lot to open a menu of existing Fresh Bulk Lots. - Note*: The option to create a new Bulk Lot is not yet functional in this workflow. How to Create a New Batch from Cuttings – Grow Module

When propagating cannabis plants, Grow Technicians can preserve desirable traits by taking cuttings from a Mother plant to create a new batch of genetically identical plants. When a Grow Technician creates a new batch from cuttings, whether through the Grow module or the Gun App, the Seed-to-Sale software generates a record of the cutting event and saves the report to the Cutting Reports sub-tab. Required permission(s): batch_read, strain_read, batch_create 1. In the Grow module, select the Propagation tab. [img propagation] 2. Open the Cutting Reports sub-tab. [img cutting-reports] 3. Enter information about the cutting event in the fields provided. - Cutting Date: The date on which the Grow Technician(s) took cuttings from the Mother plant. This may not be the same day the report was created. - Report Date: The report's date of creation. - Batch: A name for the new batch. This field is optional. - Batch Type: The new batch's purpose. - Visit the Grow Settings tab to Add a New Batch Type. - Destination: The new batch's location. mceclip3.png 5. Select the Mother plants from which to take cuttings. 1. Click Add Mothers. This opens the Select Mothers modal, which lists each cannabis strain saved to the licence holder's system, and the number of Mother plants of each strain. mceclip5.png 2. Select a cannabis strain to open a list of all Mother plants of that strain. mceclip6.png 3. Select a Mother plant by clicking the icon. - Note*: A Grow Technician can select multiple Mothers to contribute cuttings to the new batch. However, all Mothers must be of the same strain.* 4. Click OK to exit the Select Mother modal. 6. Typically, Grow Technicians use batches grown from seeds for phenotype selection, in the interest of breeding strong Mother plants for cloning. Seeds of the same strain are grouped in bags or containers known as Seed Lots. Follow the steps below to create a new Seed Lot. Required permission(s): seed_lot_read, strain_read, seed_lot_create 1. In the Grow module, open the Propagation tab. mceclip0.png 2. Open the Seed Lots sub-tab. mceclip1.png 3. Click New. This opens a Create Seed Lot modal. mceclip2.png 4. Enter information about the new Seed Lot in the fields provided. - Name: A unique name for the Seed Lot. - Strain: The strain of seeds in the Seed Lot. - If the Seed Lot's cannabis strain is not listed, click Create Strain. - Location: The place the Seed Lot will be stored. Many cannabis cultivators store their Seed Lots in a vault when not in use. - Source: The seeds' source. Populating this field ensures accurate values in the Unpackaged Seeds columns on the monthly CTLS Report. Options are: - Produced: Indicates the seeds were produced on-site through breeding. - Received - Domestic: Indicates the seeds were purchased from another Canadian producer. - Received - Imported: Indicates the seeds were purchased from a producer outside Canada. - Seed Count: The number of seeds in the Seed Lot. - Weight: The aggregate weight of all seeds in the Seed Lot. mceclip3.png 5.
