How to Add a Cannabis Form

A cannabis form is the specific form of cannabis in a Bulk Lot. For each stage of production, Processing Technicians Create Work Orders to convert the Bulk Lot from one form to another–for instance, from Oil Extract to Capsules or Gummy Bears. Customize the list of available cannabis forms through the process below. Note*: Ample Organics allows you to define each cannabis form by one of three categories: Flowering, Non-flowering, and Untracked. This is, in part, to satisfy Canada Revenue Agency's monthly reporting requirements. Before adding a new cannabis form, consult the Cannabis Act to ensure the correct category is selected.* 1. In the Productions module, open the Settings tab. mceclip0.png 2. Click into the Cannabis Forms sub-tab. mceclip1.png 3. Click New.This opens a Create Cannabis Form modal. mceclip2.png 4. Enter a unique Name for the new cannabis form in the field provided. mceclip3.png 5. Open the CRA Reporting Category drop-down menu, and select the cannabis form's category. mceclip4.png - Flowering material is defined by the CRA as "the whole or any part (other than viable seeds) of an inflorescence of a cannabis plant at any stage of development, including the infructescence stage of development. Inflorescence is commonly defined as a combination of the flowers and the ultimate small twigs of the branching system subtending the flowers. This includes what is commonly known in the industry as the bud and the small sugar leaves or other materials (bracts, stems, etc.)" - Non-flowering material is defined by the CRA as **"**any part of a cannabis plant other than flowering material, viable seeds and a part of the plant that is a non-viable seed, a mature stalk without any leaf, flower, seed or branch of the plant, fiber derived from a stalk of the plant, and the root or any part of the root of the plant." - Untrackedrefers to a cannabis form that does not fit neatly into either of the other two categories. 6. How to Destroy Bottles

If bottles of cannabis become contaminated or otherwise unfit for sale, follow the steps below to select and destroy the affected bottles. Required permission(s): production_read, destruction_lot_read, bulk_lot_update 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot. Enter information about the destruction in the fields provided. - Bottle ID Range: The range of bottle ID numbers to destroy. If only one bottle is affected, enter the same bottle number in both the Starting ID and Finishing ID fields. - Substance Destroyed: The substance to be destroyed. - Visit the Destruction Settings tab to Add a Destruction Substance Type. - Destruction Reason: The reason for the destruction. - Visit the Destruction Settings tab to Add a Destruction Reason Code. - Destruction Lot: The Destruction Lot and sublot that will house the destroyed material. - Visit the Destruction module to Create a New Destruction Lot or Sublot. mceclip2.png 7. How to Destroy Packaging Run Waste

Through the Packaging Run Waste sub-tab, a QA Technician can destroy waste from a specific Packaging Run associated with a Bulk Lot. This may be necessary if product is spilled or otherwise contaminated during packaging. Required permission(s): production_read, destruction_lot_read, packaging_run_update 1. Select a Packaging Run. - If destroying waste from an active Packaging Run: 1. Open the Active Packaging Runs sub-tab. It should be open by default. 2. Select a Packaging Run for destruction. - If destroying waste from a closed Packaging Run: 1. Open the Closed Packaging Runs sub-tab. 2. Select a Packaging Run for destruction. - To select a Packaging Run by ID number: 1. Open the Select by ID sub-tab. 2. Enter the Packaging Run's ID number in the field provided. 3. Click Next. 7. Enter information about the destruction in the fields provided. - Weight: The total weight (g) of the destroyed material. - Volume: The total volume (ml) of the destroyed material. This field only appears if the Bulk Lot's type is Extracts, Topicals, or Edibles - Non-solids. - Discrete Units: The quantity of discrete units to destroy. How to Destroy General Bulk Lot Waste

Through the General Bulk Lot Waste sub-tab, a QA Technician can destroy miscellaneous waste from a Bulk Lot. This may be necessary if product spills, or if a portion of the Bulk Lot degrades or goes moldy while in storage. Required permission(s): production_read, destruction_lot_read, bulk_lot_update 1. How to Print EA Unit Labels for a Mass Packaging Run

Printing EA unit labels from the Mass Packaging Runs tab in the Productions module is only possible immediately following the run. However, you can visit the SKU's Packaging Runs tab to Print Unit Labels at any time. 1. In the Productions module, Create a Mass Packaging Run. A summary of the Mass Packaging Run appears once the run is complete. mceclip0.png 2. Click Print Labels to open the Print Labels modal. mceclip1.png 3. Select a printer from the Printer drop-down menu. 4. Select a label type from the Label Type drop-down menu. Options are: - Inventory QR: Generic QR code labels for inventory management purposes. - GS1: Labels that include the SKU's GS1 number. - UPC: Labels that include the SKU's UPC number. - Wholesale QR (Dried EA, Oil EA, or Capsule EA): QR code labels to facilitate inventory management in the wholesale workflow. These labels differ slightly depending on whether the product is Dried, Oil, or Capsule. mceclip2.png 5. Complete the remaining fields. These fields will differ based on the label type selected. - Inventory QR mceclip2.png 1. Check All Available EA Units (Total: #) to print labels for all EA units, or check Range of IDs to specify a range of bottle ID labels to print. If the Mass Packaging Run was continued from a previous run, another option will appear to print labels for only newly packaged EA units. - GS1 mceclip3.png 1. Select an expiry date in the field provided, or check No Expiry. 2. Check All Available EA Units (Total: #) to print labels for all EA units, or check Range of IDs to specify a range of bottle ID labels to print. If the Mass Packaging Run was continued from a previous run, another option will appear to print labels for only newly packaged EA units. - UPC mceclip4.png 1. If the Mass Packaging Run was continued from a previous run, another option will appear to print labels for only newly packaged EA units. - Wholesale QR mceclip5.png 1. Enter the associated Purchase Order's reference ID string in the field provided. 2. Check All Available EA Units (Total: #) to print labels for all EA units, or check Range of IDs to specify a range of bottle ID labels to print. If the Mass Packaging Run was continued from a previous run, another option will appear to print labels for only newly packaged EA units. 6. Click Print Sample to print a sample label. - If the sample has a printing error, diagnose the printing issue before proceeding to the next step. 7. Click Print to print labels for the EA units. Affix the labels to the EA units immediately. mceclip6.png To package EA units into cases to sell through the Wholesale application, visit a Case SKU's Casing Runs tab and Create a Casing Run. Once cases are created, Print Case Labels. Once the Packaging Run has been released to inventory, visit the Forensics tab to track units as they are sold.

How to Create a Mass Packaging Run

When creating a Packaging Run through the Gun App, Packaging Associates manually package units one by one and log the weight of each individual unit. Through a Mass Packaging Run, however, a Packaging Associate can package units all at once in a single action, and enter the total weight, volume, and discrete units across all units packaged in the run. This is ideal for licence holders who package units, especially oil products, using specialized machinery. This process describes packaging bulk cannabis into bottles–or EA units. To package EA units into cases, visit a Case SKU's Casing Runs tab and Create a Casing Run. Required permission(s): production_read, product_read, packaging_run_create 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot. This opens the Bulk Lot's Profile. [img bulk-lot-overview] 3. Open the Mass Packaging Run tab. [img bulk-lot-mpr] 4. In the Destination section, select a SKU for a new Packaging Run, or continue an existing Packaging Run. - If creating a new Packaging Run: mceclip3.png 1. In the Mass Packaging Run field, select Create New. 2. Open the Product drop-down menu, and select a product. The drop-down will filter out products with subclasses that are not compatible with the Bulk Lot's type. For example, if the Bulk Lot's type is Extracts-Ingested and the lot uses discrete units, only products of the Extracts-Ingested (Discrete) type will appear in the drop-down. 3. Open the SKU drop-down menu, and select a SKU. - If continuing an existing Packaging Run: mceclip4.png 1. In the Mass Packaging Run field, select open the drop-down menu and select a Packaging Run listed under the Open Runs heading. 5. Populate all fields in the Quantity section to indicate the number of EA units and amount of cannabis to package. mceclip5.png - Total EA Units:The total number of bottles–or EA Units–to package. - EA Unit Tare Weight: The bottle tare weight per unit. - EA Unit Net Weight: The total weight of cannabis packaged per EA unit, in grams. This value must be within the SKU's acceptable weight range. This range is based off the value entered in the Net Weight field in the SKU's Profile. - Total Weight Packaged: The total weight of all units packaged. This field auto-calculates by multiplying the value in the Qty. of EA Units field by the value in the EA Unit Net Weight field, unless the Packaging Associate checks the Set Quantity Totals toggle to enter a custom value. With this setting selected, you can enter a custom total weight packaged, which affects the value in the EA Unit Net Weight field by dividing the Total Weight Packaged by the Total EA Units. - EA Unit Net Volume: The total volume of cannabis packaged per EA unit in millilitres. This value must be within the SKU's acceptable volume range, which is based off the value entered in the Net Volume field in the SKU's Profile. This field only appears if the SKU is an Extracts, Topicals, or Edibles - Non Solids product. - Total Volume Packaged: The total volume of all units packaged. This field auto-calculates by multiplying the value in the Qty. of EA Units field by the value in the EA Unit Net Volume field, unless the Packaging Associate checks the Set Quantity Totals toggle to enter a custom value. With this setting selected, you can enter a custom total volume packaged, which affects the value in the EA Unit Net Volume field by dividing the Total Volume Packaged by the Total EA Units. This field only appears if the SKU is an Extracts, Topicals, or Edibles - Non Solids product. - EA Unit Net Discrete Units: The number of discrete units to package into a single EA unit. This quantity is set in the SKU's settings and cannot be updated. This field only appears if the Bulk Lot measures cannabis in discrete units. - Total Discrete Units Packaged: The total number of discrete units packaged across all units in the Mass Packaging Run. This field auto-calculates by multiplying the value in the Total EA Units field by the value in the EA Unit Net Discrete Units field. 6. Select the Packaged On date in the field provided. mceclip6.png - If the Packaged On date is entered in error, you can Edit the Packaging Run's Packaging Date from the SKU's Inventory tab. 7. Indicate whether or not the keep the Mass Packaging Run open upon creation. If the run is left open, an associate can resume the run at a later time to add more units. 8. Click Proceed to Review. This opens a modal summarizing the Mass Packaging Run. mceclip7.png 9. Review the information. If everything is in order, click Confirm & Create to complete the Mass Packaging Run. mceclip8.png Click Print Labels to Print EA Unit Labels for the Mass Packaging Run. To make all EA units in the Packaging Run available for purchase on the Client Portal, visit SKU's Inventory tab in the Products module to Release the Packaging Run.

How to Update a Lab Report with COA Results

Entering lab report data is an essential step in releasing a Bulk Lot, as for many product types, a SKU's publicly-visible potency information is pulled directly from the associated Bulk Lot's active lab report. For other product types, a SKU's publicly-visible potency information is based on defaults configured in the SKU's Profile, but a product manager will still use the lab report as a reference when setting up those fields. After Creating a Lab Report, a QA Technician should send a sample to an external lab for testing. Once the test results come back, the technician must return to the Bulk Lot's Lab Reports tab to update the lab report with the external lab's Certificate of Analysis–or COA–results. Required permission(s): production_read, lab_report_update 1. In the Productions module, select a production. mceclip0.png 2. Select a Bulk Lot. This opens the Bulk Lot's Profile. mceclip2.png 3. Open the Lab Reports tab. mceclip3.png 4. Select the appropriate lab report. This opens the Lab Report's page. mceclip4.png 5. Transfer data from the COA document to the fields provided. 1. In the Cannabinoids sub-tab, enter reporting thresholds for each cannabinoid. A reporting threshold is an expected value, and affects how potency information displays on public-facing labels. For example, if the reporting threshold is 5 mg/g and the actual potency result is 4 mg/g, the label will read <5 mg/g. - Note*: To use the default values configured in the Lab Report Threshold Defaults tab, click Reset to Defaults.* mceclip5.png 2. Enter the sample's cannabinoid potencies results. Before a QA Technician can release a lab report, the THC, Total THC, CBD, and Total CBD fields must be filled in. mceclip6.png 3. Enter the sample's terpene profile in the Terpene Profile sub-tab. mceclip7.png - If the lab returns results for a terpene that does not appear here, click Manage Terpene List to Add a New Terpene. 4. Enter additional information, in the Other sub-tab. Depending on the Bulk Lot's type, this may include: - The sample's Fresh Marihuana Equivalency Factor. This only appears if the Bulk Lot is Dried. - The sample's Oil Equivalency Factor. This only appears if the Bulk Lot is an Extract, Topical, or Edible. - The sample's Density. This only appears if the Bulk Lot is an Extract, Topical, or Edible. - Any food allergens discovered in the sample. - Click Manage to Add a New Food Allergen. - The Bulk Lot's expiry date. mceclip8.png 6. If desired, attach a publicly visible copy of the COA report. 1. Scroll down to the Documents section, and click New.This opens an Attach New Document modal. mceclip9.png 2. Upload the COA file, and enter a title and description in the fields provided. mceclip10.png 3. Click Attach to upload the document. mceclip11.png 4. Click Set Public COA to identify the document as the public Certificate of Analysis. mceclip0.png 7. Open the Status drop-down menu, and set the lab report's status to Released. mceclip8.png 8. Click Set Active to mark the lab report as Active. mceclip14.png Once the Bulk Lot has an active lab report, Release the Bulk Lot. This ensures that any units packaged from the Bulk Lot can be released for public sale.

How to Repurpose Part of a Retained Sample for Further Testing

If a Bulk Lot must undergo additional testing, but the licence holder has already sold all cannabis in the Bulk Lot, QA Technicians can reclaim a portion of the Bulk Lot's retained sample and use it to create a new lab report. Required permission(s): production_read, retention_sample_update 1. In the Productions module, select the affected production. [img production-profile] 2. Select the affected Bulk Lot. This opens the Bulk Lot's Profile. [img bulk-lot-overview] 3. Open the Retained Samples tab. [img bulk-lot-retained-samples] 4. Select a retained sample to open its profile. mceclip0.png 5. Adjust the Weight, Volume, and Discrete Units fields to reflect the quantities remaining in the sample after a portion is removed for the new lab report. For example, if a sample is 26g, and 10g will be deducted for the lab report, update the Weight field to 16g. - Please note that the Volume and Discrete Units fields will only appear for Bulk Lots that use those units of measure. mceclip1.png 6. How to Create a New Lab Report

Before sending a Bulk Lot sample for external testing, create a new lab report to document the sample and input shipping information. Follow the steps below to create a new lab report. Required permission(s): production_read, lab_report_create 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot. This opens the Bulk Lot's Profile. mceclip1.png 3. Open the Lab Reports tab. mceclip2.png 4. Click New to open a blank Lab Report page. mceclip3.png 5. Fill in any applicable fields in the Sample Details and Tracking sections. Leave all other fields blank until the laboratory returns a Certificate of Analysis–or COA. - Status: The sample's status. When sending out a new sample for analysis, select Pending. - Sample Weight: The sample's weight, in grams. - Sample Volume: The sample's volume, in millilitres. This field only appears for Extracts, Topicals, and Edibles - Non-Solids Bulk Lots. - Sample Units: The quantity of discrete units included in the sample. This field only appears if the Bulk Lot uses discrete units as a unit of measure. - Sample Sent: Indicates whether or not the sample has been sent to an external lab for testing. - If Sample Sent is set to Yes, a field will appear to list the date on which the sample was sent. The Date Sent field will default to the current date, but can be edited as necessary. You should always mark a sample as "sent" on the same day the sample is physically sent to the lab. mceclip4.png - Product Underwent Sterilization: Indicates whether or not the sample has undergone gamma irradiation or another sterilization process. - External Test: Indicates whether or not an external laboratory will perform the testing. Some licence holders perform internal testing for QA purposes. However, cannabis from a Bulk Lot cannot enter the licence holder's inventory until the lot has received a COA from an external lab. - Carrier Oil: The base oil used to dilute cannabis oil. This may be olive oil, MCT oil, hempseed oil, or another carrier. This field only appears for Extracts Bulk Lots. mceclip5.png - Sending Method: The method by which the sample was transported to the lab. - Tracking Number: The sample's tracking number. - Date Received: The date on which the laboratory received the sample. mceclip7.png 6. Click Save to save the new lab report. mceclip5.png As soon as the external laboratory returns a Certificate of Analysis (COA), Update the Lab Report with COA Results and set the lab report as Active. Once the Bulk Lot has an active lab report, Release the Bulk Lot.

How to Create a Retained Sample

Health Canada requires licence holders to retain a sample from each Bulk Lot for at least one year after the last date of sale or provision. Follow the process below to create and retain a Bulk Lot sample. Required permission(s): production_read, retention_sample_create 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot. This opens the Bulk Lot's Profile. [img bulk-lot-overview] 3. Open the Retained Samples tab. [img bulk-lot-retained-samples] 4. Click New. This opens a New Retained Sample modal. mceclip1.png 5. Enter details about the sample in the fields provided. - Weight: The weight taken for the sample, in grams. - Volume: The volume taken for the sample, in millilitres. This field only appears if the Bulk Lot's type is Extract, Topicals, or Edibles - Non-Solids. - Discrete Units: The number of discrete units taken for the sample. This field only appears if the Bulk Lot is measured in discrete units. - Location: The location in which the retained sample will be stored. Many licence holders have a designated vault to store retained samples. mceclip2.png 6. Click Create to save the retained sample and open the new Retained Sample's Profile. mceclip3.png Upon creating a new retained sample, a QA Technician should immediately Label the Sample. Licence holders must keep the sample until at least a year after the Bulk Lot's last date of sale. However, if the Bulk Lot requires additional testing after all cannabis has been sold or destroyed, a QA Technician can Repurpose Part of the Retained Sample for Further Testing. Once a year has passed, a QA Technician should Destroy the Retained Sample.

How to Transfer Weight between Bulk Lots

An inventory manager can redistribute bulk cannabis weight by transferring weight from one Bulk Lot into another. In this process, you select an existingBulk Lot to receive the weight. This is not the same as Splitting a Bulk Lot, which creates a new Bulk Lot to receive the split weight. Note*: You can only transfer weight/volume/discrete units between Bulk Lots of the same type.* Required permission(s): production_read, bulk_lot_transfer 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot to open the Bulk Lot's Profile. [img bulk-lot-overview] 3. Open the Weight Events tab. [img bulk-lot-weight-events] 4. Click Transfer Into Other Lot. This opens the Bulk Lot Weight Transfer modal, which lists all productions that contain Bulk Lots of the appropriate Bulk Lot type. mceclip1.png 5. Select a production to open a list of all Bulk Lots within that production of the appropriate Bulk Lot type. mceclip2.png 6. Select a Bulk Lot. - If an error occurs or to select a different production, click mceclip3.png to navigate back to the list of productions. 7. Enter the weight, volume, and quantity of discrete units to transfer to the destination Bulk Lot in the field provided. - Note*: The Transfer Volume and Transfer Units fields will only appear if the source Bulk Lot uses volume and/or discrete units as units of measure.* mceclip4.png 8. How to Split a Bulk Lot

If a Bulk Lot contains a large amount of cannabis or will be processed into multiple products, the licence holder can split the Bulk Lot into two distinct lots to manage separately. Splitting a Bulk Lot creates a new Bulk Lot that is essentially a clone of the original, and transfers a specified quantity of cannabis into the new lot. This is not the same as Transferring Weight Between Bulk Lots, in which you select an existing Bulk Lot of the same type to receive cannabis weight from the source lot. Required permission(s): production_read, bulk_lot_split 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot to open the Bulk Lot's Profile. [img bulk-lot-overview] 3. Open the Weight Events tab. [img bulk-lot-weight-events] 4. Click Split Into New Lot. This opens the Split Into New Lot modal. mceclip1.png 5. Enter the quantity of cannabis to split off in the fields provided: - Weight to Split: The weight to split off, in grams. This cannot exceed the Bulk Lot's current weight. - Volume to Split: The volume to split off, in millilitres. Destruction Tab – Bulk Lot Profile

Through the Destruction tab, a Processing Technician can destroy waste from the Bulk Lot. [img bulk-lot-destruction] The Destruction tab contains four sub-tabs: General Bulk Lot Waste, Packaging Run Waste, Bottle Destruction, and Retained Sample Destruction. General Bulk Lot Waste mceclip1.png Through the General Bulk Lot Waste sub-tab, a technician can destroy miscellaneous waste from the Bulk Lot. This may be necessary if product spills, or if a portion of the Bulk Lot degrades or goes moldy while in storage. The General Bulk Lot Waste sub-tab also records waste destroyed in the Packaging Run Waste and Retained Sample Destruction sub-tabs. Click Record New Destruction to Destroy General Bulk Lot Waste. If an error occurs, Revert the General Bulk Lot Waste Destruction. Weight Events Tab – Bulk Lot Profile

The Weight Events tab records all changes to a Bulk Lot's weight, volume, and/or discrete unit count. Every time an action occurs that impacts the Bulk Lot's weight–packaging cannabis into bottles, sending a Bulk Lot sample for testing, creating a retained sample, etc.–the change is recorded as a new line item in the Weight Events table. mceclip0.png Each line in the Weight Events table includes a running total of the Bulk Lot's weight/volume/discrete units, the amount added or subtracted in the weight event, and a brief description of the weight event. Click Download Report to Generate a Weight Events Report in CSV format. Click Transfer into Other Lot to transfer a portion of the Bulk Lot to another existing Bulk Lot. Both Bulk Lots will retain a record of the transfer in their respective Weight Events tabs. Click Split Into New Lot to split off a portion of the Bulk Lot into a new, separate Bulk Lot. The new Bulk Lot will be a clone of the original, but it will have unique weight indicators, QA Status, Work Orders, and Packaging Runs. Click New Event to manually create a new weight event. This is only necessary if the Bulk Lot undergoes a change in weight/volume/discrete units that is not directly linked to a process within the Seed-to-Sale software, like dry-loss reconciliation or packaging reconciliation. Retained Samples Tab – Bulk Lot Profile

Health Canada requires licence holders to retain a sample of each Bulk Lot for at least one year after the last date of sale or provision, and the Retained Samples tab tracks these samples. The Retained Samples tab displays the name, location, and creation date of each retained sample associated with the Bulk Lot. The table also records the weight, volume, and discrete units taken from the Bulk Lot for each sample. The Volume and Discrete Units columns will only appear if the Bulk Lot tracks cannabis using those units of measure. mceclip0.png Click New to Create a New Retained Sample. Each new sample is assigned a unique ID tag that corresponds with its parent Bulk Lot. For example, the first retained sample taken from Bulk Lot 77432 will have a sample ID of B77432-S1. Click Print Label to Print a Retention Sample Label. Retained Sample Profile Select a retained sample from the index to open its Retained Sample Profile. Here, a Quality Assurance Technician can update, delete, or destroy the sample. Deleting a retained sample returns the weight to the Bulk Lot and deletes the sample's profile. Destroying a retained sample marks the sample as Destroyed, and sends the sample's weight to a Destruction Lot. Lab Reports Tab – Bulk Lot Profile

As per Health Canada regulations, a sample of every Bulk Lot must be sent to an external laboratory for testing and returned with a Certificate of Analysis (COA) before products from the Bulk Lot can be sold. Additionally, some licence holders test samples internally before processing to detect contaminants early to prevent wasted effort. The Lab Reports tab displays all lab reports, both internal and external, associated with a specific Bulk Lot. [img bulk-lot-lab-reports] When a new sample is sent for testing, click New to Create a New Lab Report. Lab Report Page mceclip1.png Select a lab report from the list to open the Lab Report. When a QA Technician creates a new lab report, they will fill out all fields in the Sample Details section. These fields describe the weight of the sample, as well as the sample's volume and quantity of discrete units if the Bulk Lot uses those units of measure. This section also indicates if and when the sample was sent for testing, whether or not the Bulk Lot has been sterilized, and the method by which the sample was delivered to the external laboratory. All other fields in the Lab Report should be left blank until the lab returns a Certificate of Analysis (COA). Once the external laboratory returns a Certificate of Analysis (COA), a QA Technician must Update the Lab Report to reflect the data in the COA document. The Lab Report contains three sub-tabs for organizing the COA data: Cannabinoids, Terpene Profile, and Other. Cannabinoids mceclip2.png The Cannabinoids sub-tab tracks the cannabinoid potencies present in the cannabis sample. Cannabinoids are the chemical compounds in cannabis that interact with receptors in the human body to produce psychoactive or medicinal effects. Potency values are measured differently depending on the Bulk Lot's type and whether or not the Bulk Lot uses discrete units. Furthermore, some Bulk Lot types allow licence holders to toggle between two potency pages and select the potency unit of measure–or UoM–that best suits their needs. In these cases, you can fill out one or both pages. - Note*: Given the regulatory transitional provisions, existing cannabis classes may use pre-amendment potency units of measurement (e.g. % for Dried non-discrete products instead of updating to mg/g) until October 17, 2020. This is used to determine availability for patients with potency limits on their prescriptions. mceclip5.png Reporting Thresholds The COA potency results may be compared against the reporting threshold, also known as the display threshold. The reporting threshold is a series of default potency values that will display on the product's label. If the actual potency of the sample is less than the reporting threshold, the label printed will place a “<” in front of the display threshold. For example, if the display threshold is 3mg and the actual potency is 2mg, the label will read “<3mg”. Visit the Settings module to Customize the Default Reporting Thresholds. Terpene Profile mceclip3.png The Terpene Profile sub-tab tracks the terpenes discovered in the cannabis sample. Terpenes are essential oils present in all plants which contribute to the plant's smell and taste. When a licence holder sends a Bulk Lot sample to an external laboratory for testing, the lab analyzes the sample's terpene profile, and this is included in the COA document. The Terpene Profile sub-tab only displays terpenes saved to the licence holder's system. Click Manage Terpene List to Add a New Terpene. Other mceclip4.png The Others sub-tab tracks miscellaneous data from the COA: - The sample's Fresh Marihuana Equivalency Factor. This only applies to Dried or Fresh Bulk Lots. - The sample's Density and Oil Equivalency Factor. This only applies to Extracts, Topicals, or Edibles Bulk Lots. - Any food allergens present in the sample. - Click Manage to Add a New Food Allergen. - The Bulk Lot's expiry date. Once saved, the lab results will correlate with any products packaged from that Bulk Lot. This report data is compared against potency limits of a registered client’s prescription, which ensures the client can be easily matched with appropriate products. How to Archive a Bulk Lot

If a Bulk Lot is empty and unused, a QA Technician should archive the Bulk Lot. This declutters the Bulk Lots section on a Production's Profile, as archived Bulk Lots do not appear in the index by default. Please note that a Bulk Lot cannot be archived if it contains weight, volume, or discrete units; or if there are any EA units–also known as bottles–associated with the lot. A technician can archive a lot with a retained sample if all associated EA units have been sold. This is useful for keeping the Bulk Lot hidden from the index until a year has passed after the last date of sale or provision, at which time a technician can destroy the retained sample. Required permission(s): production_read, bulk_lot_archive 1. In the Productions module, select a production. [img production-profile] 2. Select a Bulk Lot to open the Bulk Lot's Profile. mceclip1.png 3. Scroll down, and click Archive. If the Bulk Lot is empty and has no associated EA units, a confirmation modal will appear. If the Bulk Lot contains weight/volume/discrete units and/or has any associated EA units that have not been sold, an error message will appear, and you will be unable to continue. mceclip2.png 4. Click Archive to mark the Bulk Lot as Archived. mceclip2.png At any time, you can repeat this process to Unarchive the Bulk Lot. Guide to Bulk Lot Types

When Creating a Bulk Lot, you must select the Bulk Lot's type and indicate whether or not the Bulk Lot is measured in discrete units. The Seed-to-Sale software offers nine distinct Bulk Lot types–each of which may be discrete or non-discrete–to correspond with the cannabis product classes and subclasses introduced by the Cannabis Act in October 2019. When Packaging Cannabis from a Bulk Lot into units for public sale, the Bulk Lot's type must match the selected product's type and subclass. For example, when packaging cannabis from an Extracts - Inhaled Bulk Lot you may only select products that have the Extracts - Inhaled subclass. Assigning each Bulk Lot an appropriate type is essential for accurately recording Unpackaged inventory values in the monthly CTLS Report. Production Profile

The Production Profile provides a high-level overview of all Bulk Lots associated with a specific production. By default, the Production Profile displays only active Bulk Lots. Click the Include Archived radio button to include archived Bulk Lots in the list. [img production-profile] As Processing Technicians process cannabis through Work Orders, the cannabis passes from Bulk Lot to Bulk Lot as its form changes. Productions are a means by which to group these Bulk Lots. For instance, a production with an end goal of producing a large flower dried cannabis product may have distinct Bulk Lots for Fresh Bulk, Dry Bulk, Bulk Trim, Large Flower, and Small Flower. Each of these lots align with the forms the bulk cannabis takes as it is processed into its final, saleable form. The Bulk Lots section displays essential information about each Bulk Lot: - Name: The Bulk Lot's unique name. - Migrated ID: If your facility has an internal method of tracking Bulk Lots that differs from the Ample Organics ID number system, the Bulk Lot's alternate ID number can go in this field. - Type: The type of cannabis in the Bulk Lot. The Seed-to-Sale software offers nine distinct Bulk Lot types to correspond with the cannabis product classes and subclasses introduced by the Cannabis Act in October 2019. If the Bulk Lot has been released, the date of release will display in this column. - Location: The vault or pick bin that houses the Bulk Lot. - Retained Sample Weight: Any weight set aside from the Bulk Lot for retention. - Packaged Weight: The total weight of product in the Bulk Lot that has been packaged and prepared for sale. - Current Weight: The current aggregate weight of cannabis in the Bulk Lot. - Current Volume: The current volume of cannabis in the Bulk Lot. This only applies to Extracts, Topicals, and Edibles - Non-Solids Bulk Lots. - Current Units: The current quantity of discrete units in the Bulk Lot. This only applies to Bulk Lots that use discrete units as a unit of measure. Bulk Lot Profile

Through the Bulk Lot Profile, you can access detailed information and actions for a specific Bulk Lot. A Bulk Lot is the largest unit of harvested product, and is used to manage bulk cannabis inventory through processing and QA testing in preparation for packaging through Packaging Runs. Furthermore, when Adding Received Inventory, you must select a Bulk Lot to associate to the received bottles–or EA units. mceclip0.png A Bulk Lot Profile splits into 11 tabs: Overview, Harvests, QA, Lab Reports, Retained Samples, Forensics, Totes, Weight Events, Work Orders, Mass Packaging Run, and Destruction. Opening the Bulk Lot Profile brings you to the Overview tab by default. Overview mceclip1.pngmceclip2.png The Overview tab displays basic information about the Bulk Lot, including the Bulk Lot's type, cannabis form, migrated ID, the weight of any retained samples, and current total weight and volume. These units of measure are not used across all Bulk Lots. While all Bulk Lots use weight as a unit of measure, only Extracts, Topicals, and Edibles - Non-Solids Bulk Lots measure cannabis in volume. Similarly, some Bulk Lots are measured in discrete units. This applies to Bulk Lots of capsules, pre-rolls, cookies, or another form that is countable at the unit level. From the Overview tab, you can perform several actions: - Change the Bulk Lot's ID in the field provided. - Edit the Bulk Lot's Migrated ID - Change the Bulk Lot's Type - Note*: You cannot update a Bulk Lot's type if the lot is associated with a Packaging Run or Received Inventory record, has a retained sample, or if the lot contains weight, volume, or discrete units. Fresh or Dried Bulk Lots are excused from this rule; lots of this type can be updated at any time. In order for products created from a Bulk Lot to be released for sale, the Bulk Lot must be QA approved through testing at a third-party laboratory. Visit the Lab Reports tab for more information. mceclip5.png Once the Bulk Lot has been QA Approved, click Release to Release the Bulk Lot.This makes any products packaged from this Bulk Lot available for sale, and records the lot's date of release in the banner. If a mistake occurs, of if products associated with the Bulk Lot are recalled, click Unrelease to revert the Bulk Lot to the Waiting for QA status. This ensures that no further products from the Bulk Lot become available to clients. Productions Settings

Through the Productions module's Settings tab, you can access settings to customize module options to meet the needs of their facility. The Settings tab breaks down into three sub-tabs: Terpenes, Food Allergens, and Cannabis Forms. Terpenes The Terpenes sub-tab displays all terpenes saved to the licence holder's system. Terpenes are essential oils present in all plants which contribute to the plant's smell and taste. When a licence holder sends a Bulk Lot sample to an external laboratory for testing, the lab analyzes the sample's terpene profile and includes this information in the Certificate of Analysis–or COA–document. mceclip0.png To Add a New Terpene, click New. Food Allergens The Food Allergens sub-tab displays all food allergens saved to the licence holder's Seed-to-Sale environment. When a licence holder sends a Bulk Lot sample to an external laboratory for testing, the lab tests for the presence of food allergens in the sample. mceclip1.png To Add a New Food Allergen, click New. Cannabis Forms The Cannabis Forms sub-tab displays all cannabis forms saved to the licence holder's Seed-to-Sale environment. Health Canada dictates that a Bulk Lot of cannabis must be one of Nine Types. These types are very general, so when creating a new Bulk Lot, you can add specificity by indicating the lot's cannabis form, which is the specific form of cannabis in the lot. For each stage of production, a Processing Technician Creates a Work Order to convert the Bulk Lot from one form to another–for instance, from Bulk Harvest to Bulk Dried. mceclip2.png The Seed-to-Sale software defines each cannabis form by one of three categories: - Flowering material is defined by the CRA as "the whole or any part (other than viable seeds) of an inflorescence of a cannabis plant at any stage of development, including the infructescence stage of development. Inflorescence is commonly defined as a combination of the flowers and the ultimate small twigs of the branching system subtending the flowers. This includes what is commonly known in the industry as the bud and the small sugar leaves or other materials (bracts, stems, etc.)" - Non-flowering material is defined by the CRA as **"**any part of a cannabis plant other than flowering material, viable seeds and a part of the plant that is a non-viable seed, a mature stalk without any leaf, flower, seed or branch of the plant, fiber derived from a stalk of the plant, and the root or any part of the root of the plant." - Untrackedrefers to a cannabis form that does not fit neatly into either of the other two categories. This is, in part, to satisfy Canada Revenue Agency's monthly reporting requirements. Consult the Cannabis Act to ensure the correct category is selected for each cannabis form. How to Create a Bulk Lot

A Bulk Lot is the largest unit of harvested product, and is used to manage bulk cannabis inventory through the processing, testing, and packaging stages. A single production may contain many Bulk Lots. When creating a new Bulk Lot, you must select the Bulk Lot's type and indicate whether or not the Bulk Lot is measured in discrete units. The Seed-to-Sale software offers several distinct Bulk Lot types–each of which may be discrete or non-discrete–to correspond with the cannabis product classes and subclasses introduced by the Cannabis Act in October 2019. Visit the Guide to Bulk Lot Types to learn about matching each cannabis form with the appropriate Bulk Lot type. Required permission(s): production_read, bulk_lot_create 1. In the Productions module, select a production. [img production-profile] 2. Click New Bulk Lot. This opens a New Bulk Lot modal. mceclip1.png 3. Select the Bulk Lot's type from the drop-down menu provided. When creating a new Bulk Lot, you can choose between nine Bulk Lot types depending on the form of cannabis in the Bulk Lot. Options are: - Dried: Cannabis that has been dried. Cannabis in a Dried Bulk Lot may be in a finished state ready for packaging, or it may require further processing to reach its final saleable form. - Edibles - Non-Solids: Edible cannabis in a liquid form. This usually describes a Bulk Lot of finished product ready for packaging. - Edibles - Solids: Edible cannabis in a solid form. This usually describes a Bulk Lot of finished product ready for packaging. - Extracts - Ingested: A refined cannabis extract that a user consumes by ingesting. This usually describes a Bulk Lot of finished product ready for packaging. - Extracts - Inhaled: A refined cannabis extract that a user consumes through inhalation. This usually describes a Bulk Lot of finished product ready for packaging. - Extracts - Other: A refined cannabis extract that a user consumes nasally, rectally, or vaginally. This usually describes a Bulk Lot of finished product ready for packaging. - Fresh: Cannabis in a fresh, post-harvest state. When Harvesting Plants, a Grow Technician must select a Fresh Bulk Lot to receive the post-harvest cannabis. - Pure Intermediates: Pure, unrefined cannabis oil extract. This describes the state of cannabis immediately following an Extraction Work Order, before any refinement or further processing has taken place. Pure Intermediates Bulk Lots are always non-discrete. You cannot package cannabis from a Pure Intermediates Bulk Lot; the cannabis must be processed further and moved to an Extracts Bulk Lot before packaging takes place. - Topicals: Products that include cannabis as an ingredient and that are intended for use on external body surfaces. This usually describes a Bulk Lot of finished product ready for packaging. mceclip2.png 4. Indicate whether or not the Bulk Lot will be measured in discrete units. This applies to Bulk Lots of capsules, pre-rolls, cookies, or another form that is countable at the unit level. Once you select an option, the modal will expand to include additional fields. mceclip3.png 5. Enter information about the new Bulk Lot in the fields provided: - Initial Weight/Volume/Discrete Units: The Bulk Lot's weight, volume, and quantity of discrete units upon creation. Leave these fields blank if the Bulk Lot is set to receive cannabis weight/volume/units from another source, like a harvest, Work Order output, or Received Inventory. - Cannabis Form: The specific form of cannabis harvested or input into the Bulk Lot. The cannabis form functions as a sub-category of the Bulk Lot's type. For example, a Bulk Lot with the Extracts - Ingested type might have a cannabis form of Bulk Oil or Capsules, depending on whether or not the lot uses discrete units. - Visit the Production Settings tab to Add a New Bulk Lot/Cannabis Form. - Name: The Bulk Lot's unique name. If you leave this field blank, the Seed-to-Sale software will assign a default numeric name to the lot. - Migrated ID: Use this field if the Bulk Lot came from a previous wholesale transaction with a unique tracking/identification system. - Location: The Bulk Lot's location. - Visit the Vault Locations and Picking Bins tab to Add a New Production Location. mceclip4.png 6. Click Create. The new Bulk Lot will appear in the Bulk Lots section on the Production's Profile. mceclip5.png After creating a new Bulk Lot, a Processing Technician should immediately Label the Bulk Lot. When Harvesting Fresh Cannabis, you must select a Fresh Bulk Lot to receive the harvest. When Adding Received Inventory, you must select or create a Bulk Lot to associate with the received units, and the lot's type must match the received product's type. Once the Bulk Lot contains cannabis, inventory managers can Split the Lot or Transfer some of the cannabis into another lot.
