In the Reports module, open the Clients tab in the Report Types section to access Client reports. Client reports allow the user to track clients–also known as patients–and their activities. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report, in CSV format.

Data in the reports is refreshed once daily. Historical reports display information on the day's opening inventory at 8:00 am local time, while standard reports display information based on snapshots taken at midnight.

Note: Generating a report with a large date range may take several minutes while data is collected. Try downloading reports periodically or wait until off hours for report generation.

The Seed-to-Sale software currently offers 21 distinct Client reports:

Inactive Patients

A record of inactive patients, defined by clients who were created in the system more than 90 days ago (from the date that the report is generated), but have not placed an order within the last 90 days.

  • Required Filter Fields: None

  • Optional Filter Fields: Include archived clients.

  • Order: By default, the report lists clients in ascending order by the Last Order column, so that clients who have been inactive for the longest time appear at the top of the report.

  • Data Points Pulled:

    • The inactive client's first name

    • The inactive client's last name

    • The client's ID string

    • The client's referral code (as applicable)

    • The date of the client's last order

    • The client's date of creation

Patient Activity

A record of each client's activities since signing up with the licence holder, or during a specified date range. This report allows the user to track the volume of orders since the licence holder's inception, or during a specific time frame, enabling more accurate forecasting.

  • Required Filter Fields: None

  • Optional Filter Fields: Specify a date range using the Start and End date fields, or filter clients by Referral Code, Province, or Physician. Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by surname.

  • Data Points Pulled:

    • A client's full name

    • The client's ID string

    • The client's referral code (if applicable)

    • The number of orders placed to date or within the specified time frame

    • Whether or not the client's prescription is currently active

    • The client's registration status

Email Distribution

A list of all client email addresses.

  • Required Filter Fields: None

  • Optional Filter Fields: Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by surname.

  • Data Points Pulled:

    • The client's full name

    • The client's email address

    • The client's referral code (if applicable)

    • The client's registration status

    • Whether or not the client is currently enabled

Marketing Email Unsubscribes

A record of all clients who have unsubscribed from marketing emails, either since the licence holder's inception or within a specified date range.

  • Required Filter Fields: None

  • Optional Filter Fields: Specify a date range using the Start and End date fields.

  • Order: By default, the report lists clients alphabetically by surname

  • Data Points Pulled:

  • The client's full name

  • The client's email address

  • The date and time at which the client opted-out of receiving marketing emails.

Patient Tracker

A detailed overview of existing clients, including personal information, prescription and registration information, and a record of the number of dollars spent and grams purchased by each client since registering with the licence holder.

  • Required Filter Fields: None.

  • Optional Filter Fields: Specify a date range using the Start and End date fields, or filter clients by Referral Code, Registration Status, or Physician. Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by first name.

  • Data Points Pulled for Each Client:

    • Personal Information

      • 16-digit ID number

      • K number, if applicable

      • Full name

      • Email

      • Primary Telephone

      • Primary Address

      • Referral code, if applicable

    • Prescription Information

      • Current prescription ID number

      • Doctor's name

      • Client's age

      • Monthly prescription allowance

      • THC and CBD potency limits, if applicable

      • The prescription's expiry date

Patient Tracker 2

A more concise version of the Patient Tracker report. This report does not include client address information, and filters out clients in the Lead status by default. Unlike the Patient Tracker report, Patient Tracker V2 indicates whether or not clients have a VAC policy.

  • Required Filter Fields: None.

  • Optional Filter Fields: Specify a date range using the Start and End date fields, or filter clients by Referral Code, Registration Status, or Physician. Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by first name.

  • Data Points Pulled for Each Client:

    • Personal Information

      • The 16-digit client ID number

      • K Number, if applicable

      • The client's Full name

      • Email

      • Province

      • Referral code, if applicable

    • Prescription Information

      • Whether or not the client has a VAC policy

      • Doctor's name

      • Client's age

      • Monthly prescription allowance

      • Script expiry

    • Registration Information

      • Registration status

      • Reason for refusal, if applicable

      • Whether or not the client has been transferred and returned

      • Days in current status

Prescription Tracker

A detailed overview of existing prescriptions, including each prescription's gram and potency allowances, indoor and/or outdoor plant allowances, and basic physician and client information.

  • Required Filter Fields: None.

  • Optional Filter Fields: Specify a date range using the Start and End date fields, or filter clients by Referral Code, Registration Status, or VAC Only. Archived prescriptions are excluded by default, but a user can also check the Include Archived box.

  • Order: By default, the report lists prescription alphabetically by each client's surname. If a client has multiple prescriptions, the report sorts these prescriptions in ascending order by ID number.

  • Data Points Pulled for Each Prescription:

    • The associated client's 16-digit ID number

    • Prescription ID number

    • Client's name

    • Client's referral code, if applicable

    • Grams per day

    • Prescription start date

    • Prescription end date

    • THC limit, if applicable

    • CBD minimum, if applicable

    • Whether or not the client is using a renewed registration

    • Whether or not the prescription is active

    • The date and time at which the prescription was verified

    • The Ample Organics user who verified the prescription

    • Physician name

    • Consultation address

    • Client's MCR registraton number, if applicable

    • Max storage amount permitted for starting materials, in grams

    • Production area type

    • Max indoor plants permitted

    • Max outdoor plants permitted

    • Client's email

    • Client's mailing address

    • Client's K number, if applicable

    • Prescription referral code, if applicable

Referral Activity

A record of all clients who registered with a referral code, and details of each client's subsequent purchases, within a specified date range. Use this report to ascertain how much revenue the licence holder has made as a result of each referral clinic.

  • Required Filter Fields: The user must specify a date range using the Start and End date fields

  • Optional Filter Fields: Filter results by selecting a specific referral code. By default, the report excludes archived clients, but a user can check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by first name.

  • Data Points Pulled for Each Referred Client:

    • Full name

    • 16-digit ID number

    • Province

    • Physician

    • Cannabis strains purchased

    • Grams purchased

    • Purchase total ($)

    • Discount total ($)

    • Purchase total with discounts ($)

    • Referral code

    • K number, if applicable.

Sales Channel

This report lists all clients within a specified sales channel, and summarizes each client's prescription and registration information. This is useful for analyzing or surveying clients who purchase specific types of products.

  • Required Filter Fields: The user must specify a sales channel using the Sales Channel drop-down menu.

  • Optional Filter Fields: By default, the report excludes archived clients, but a user can check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by first name.

  • Data Points Pulled for Each Client in the Sales Channel:

    • 16-digit ID number

    • Full name

    • City

    • Province

    • Referral Code, if applicable

    • Doctor

    • Date of birth

    • Monthly prescription allowance

    • THC limit, if applicable

    • CBD limit, if applicable

    • Prescription expiry date

    • Registration status

    • Client's date of creation

    • Client's date of registration

    • Client's date of re-registration (renewal) if applicable

Order Availability

A record of all clients in the medical market with available grams in their current prescription period. This allows the licence holder to forecast upcoming purchases.

  • Required Filter Fields: None

  • Optional Filter Fields: Specify a date range using the Start and End date fields, or filter clients by Referral Code. Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients alphabetically by surname.

  • Data Points Pulled for Each Client:

    • 16-digit ID number

    • Registration status

    • Whether or not the client has a VA policy

    • Grams remaining under VA policy, if applicable

    • Referral code, if applicable

    • Grams available now

    • Grams available future (at the start of the client's next prescription period)

    • Date to order

    • Date on which last order was placed

    • Prescription expiry date

Client Order Count

Total historical order count for each client with associated information.

  • Required Filter Fields: None

  • Optional Filter Fields: Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists clients in ascending order by the number of orders each client has placed.

  • Data Points Pulled for Each Client:

    • 16-digit ID number

    • First name

    • Last name

    • Email

    • Registration Status

    • Referral code, if applicable

    • Order count to date

    • Date of first order

    • Date of most recent order

    • The date of the first order placed using the client's active prescription

Call Logs Report

A record of all recent call logs. This allows a licence holder to tally how long CSRs spend responding to calls from clients, and analyze the most common reasons clients call in.

  • Required Filter Fields: None

  • Optional Filter Fields: Archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Data Points Pulled for Each Client Call:

    • The ID number (two digits) of the client who called

    • The clent's 16-digit ID number

    • The client's first name

    • The client's last name

    • The client's phone number

    • The client's email

    • Last date of contact

    • Days since last contact

    • Call duration, in minutes

    • Call direction (inbound or outbound)

    • Call reason

    • A description of the call

Policy Type Report

A high-level record of all policies. A user can filter this report to only display clients with a specific policy type.

  • Required Filter Fields: None

  • Optional Filter Fields: A user can filter this report to only display clients with a specific policy type. Policies that belong to archived clients are excluded by default, but a user can also check the Include Archived box to include archived clients.

  • Order: By default, the report lists policies by the associated client's surname, and then by policy ID number.

  • Data Points Pulled for Each Policy:

    • The client associated with the policy

    • The client's 16-digit ID number

    • The policy type name

    • The policy ID number

    • Whether or not the policy is enabled

    • Whether or not the policy is from Veteran's Affairs Canada

Policy Usage Report

A record of each unique order placed under a specified policy type within a specified date range.

  • Required Filter Fields: A user must specify a date range using the Start and End date fields. The user must also select a policy type from the drop-down menu provided.

  • Optional Filter Fields: Archived policies are excluded by default, but a user can also check the Include Archived box to include archived policies.

  • Order: By default, the report lists orders by ID number.

  • Data Points Pulled for Each Order partially covered by a Policy:

    • Order ID number

    • The client's 16-digit ID number

    • The date on which the order shipped, if applicable

    • The client's first name

    • The client's last name

    • The order's total cost before the policy deduction

    • The order's total cost after the policy deduction

    • The total amount of the order's cost covered by the policy

    • The total shipping cost

    • The total policy grams used

    • The total grams of cannabis in the order

    • The policy's ID number

    • The clients' referral code, if applicable.

New Patients (Historical)

For generating a historical summary of new patients added to sales channels across several registration statuses.

  • Required Filter Fields: None.

  • Optional Filter Fields: A user may specify a date range using the Start and End date fields.

  • Order: The report lists sales channels by ID number.

  • Data Points Pulled for Each Sales Channel:

    • Number of clients added to the sales channel in the Approved status.

    • Number of clients added to the sales channel in the Renewed status.

    • Number of clients added to the sales channel in the Expired status.

    • Number of clients added to the sales channel in the Lead status.

    • Number of clients added to the sales channel in the Pending Registration status.

New Patients

A record of all new patients, organized by date and associated sales channels.

  • Required Filter Fields: None.

  • Optional Filter Fields: A user may specify a date range using the Start and End date fields.

  • Order: The report lists sales channels by ID number.

  • Data Points Pulled for Each Sales Channel:

    • Number of clients added to the sales channel in the Approved status.

    • Number of clients added to the sales channel in the Renewed status.

    • Number of clients added to the sales channel in the Expired status.

    • Number of clients added to the sales channel in the Lead status.

    • Number of clients added to the sales channel in the Pending Registration status.

AmpleCare Users

A record of clients imported using AmpleCare in a specified date range, as well as purchases placed by AmpleCare clients.

  • Required Filter Fields: A user must specify a date range using the Start and End date fields.

  • Optional Filter Fields: None.

  • Order: The report lists sales channels by ID number.

  • Data Points Pulled for Each Client created through AmpleCare:

    • The date at which the prescription was created

    • The prescription's ID number

    • The client's unique ID number

    • The client's last name

    • The client's first name

    • The client's date of birth

    • The client's phone number

    • The client's email

    • The client's referral code, if applicable

    • The order's ID number

    • The date the client purchased the products

    • The type of product purchased

    • The cost

    • The quantity of units ordered

    • The grams ordered

    • The client's registration status

Client Prescription Expiry

A record of all clients with expired prescriptions within a specified date range.

  • Required Filter Fields: A user must specify a date range using the Start and End date fields.

  • Optional Filter Fields: Archived prescriptions are excluded by default. However, a user can check the Include Archived box to include archived prescriptions.

  • Order: The report lists sales channels by ID number.

  • Data Points Pulled for Each Client with an Expired Prescription:

    • Client ID

    • Full name

    • Email

    • Prescription ID number

    • Prescription end date–the date on which the prescription expired

    • Gram allowance per day

    • Prescribing physician

    • Prescription referral code, if applicable

    • Client referral code, if applicable

    • Current registration status

    • Date of birth

VAC Active Patients

A list of all active clients registered with Veterans Affairs Canada and their registration information.

  • Required Filter Fields: None.

  • Optional Filter Fields: A user may specify a date range using the Start and End date fields. Archived clients are excluded by default. However, a user can check the Include Archived box to include archived clients.

  • Order:

  • Data Points Pulled for Each VAC Client:

    • First name

    • Last name

    • Policy ID number

    • Referral code, if applicable

    • 16-digit ID number

Symptoms & Ailments

A report of all clients who have symptoms and/or ailments identified in the Medical Profile tab on their Client Profile. This is useful for assessing the most common symptoms and ailments experienced across the client base.

  • Required Filter Fields: None.

  • Optional Filter Fields: None.

  • Order:

  • Data Points Pulled for Each Client:

    • Full name

    • 16-digit ID number

    • Date of birth

    • Postal code

    • Ailments selected

    • Symptoms selected

    • Average grams purchased in a single order

    • Medical condition(s)

    • Additional symptoms, if applicable

    • Dietary information, if applicable

    • Current medications, if applicable

    • Lifestyle information, if applicable

    • Cannabis preferences

    • Other notes

Patient Prescription Extension

A report of all clients who have utilized the COVID-19 prescription extension.

  • Required Filter Fields: None.

  • Optional Filter Fields: None.

  • Data Points Pulled:

    • The client's unique ID number

    • The prescription's original expiration date

    • The prescription's extended expiration

    • The increase in days

    • The date the extension was granted

    • The user who extended the prescriptions.

These reports contain sensitive information, so handle them with care.
