Other Reports

The Reports module houses reports that track activities throughout the Seed-to-Sale platform. However, Ample Organics also offers several reports that pull data for specific objects, like a specific Bulk Lot, harvest, or Packaging Run. Usually, you can access these reports from a module index or an object's profile page, rather than from the Reports module. Follow the links below for information on how to generate reports outside of the Reports module. Productions - Bulk Inventory Report - The Bulk Inventory Report pulls essential information about each Bulk Lot saved to the licence holder's Seed-to-Sale environment. For each Bulk Lot, the report lists the lot's associated production, packaged weight and volume, unpackaged weight and volume, QA status, location, type, cannabis form, and cannabinoid potencies. Note*: The Bulk Inventory Report is also accessible through the Inventory report types sub-tab in the Reports module.* - Packaged Inventory Report - A Packaged Inventory Report summarizes all bottles packaged through all EA Packaging Runs associated with a specific Bulk Lot. For each bottle, the report lists the bottle's ID number, associated Bulk Lot, grams packaged into the bottle, and the associated Packaging Run's ID number. The report also indicates whether or not each bottle has been destroyed or returned. - Forensics Report - After packaging bottles through a Packaging Run or Mass Packaging Run, a Packaging Associate can generate a bottling record to quickly pull all bottle ID numbers included in the run. A bottling record is useful for traceability in the event of a product recall. - Bulk Lot Weight Events Report - Anytime a Bulk Lot's weight changes, the change is recorded as a line item on the Bulk Lot's Weight Events tab. You can download this table into a spreadsheet. Work Orders - Work Order Report - A Work Order Report summarizes a Work Order's input and output weight and volume, as well as the input and output Bulk Lots. The Work Order must be Closed before you can generate a PDF report. Grow - Grow Inventory Report - The Grow Inventory Report provides a high-level snapshot of all living inventory in a licence holder's grow rooms. This includes the number of plants in each grow room, and details about every active batch. - Cutting Report - After Creating a Batch from Cuttings through the Grow module or Gun App, a Grow Technician may download and print a Cutting Report. The Cutting Report lists the total cuttings planted, the associated mother plants, and the staff member who took the cuttings. The report also includes fields for the Grow supervisor to sign off on the cutting event. - Seeding Report - A Grow Technician can generate and download a Seeding Report for any batch created from a Seed Lot. This allows grow room supervisors to approve and document all batch creations as they occur at their facility. - Batch Report - A Batch Report provides a Grow Technician with a snapshot of a batch's current status, including the number of plants in the batch, the batch's location, and information about each plant in the batch. - Harvest Report - After completing a harvest, a Grow Technician may wish to download a Harvest Report. The Harvest Report summarizes the batch and plants harvested, the destination Bulk Lot, and the total weight harvested and destroyed. The report also includes fields for the Grow supervisor to sign off on the harvest. - History Events Report - A Grow Technician can download a History Events Report for a specific plant, batch, or seed lot. The report summarizes all events in the object's history, including its creation, movement, and destruction. Destruction - Destruction Lot Report - Once a Destruction Lot is Closed, you can generate a destruction lot report that summarizes the weight of destroyed material in the lot, and the contents of each child lot/sublot. If the Destruction Lot has been Destroyed, the report also includes destruction details and fields for witnesses to verify that the destruction took place as indicated. Complaints - Complaint Report - When recording a complaint from a client, a CSR enters details of the complaint and tracks its investigation through the Complaint's Profile. Generate information about a specific complaint into a PDF document following the process below. Through the Reports module, you can generate a Monthly Reporting Template.

Wholesale Reports

In the Reports module, open the Wholesale tab in the Report Types section to access Wholesale reports. Wholesale reports allow licence holders to track wholesale transactions that take place in the Wholesale application. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report, in CSV format. Data in the reports is refreshed once daily. Historical reports display information on the day's opening inventory at 8:00 am local time, while standard reports display information based on snapshots taken at midnight. Note*: Generating a report with a large date range may take several minutes while data is collected. Destruction Reports

Enter the Reports module, and open the Destruction tab in the Report Types section to access Destruction reports. Destruction reports tracks activities related to the Destruction Lots and sublots saved to the licence holder's system. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report, in CSV format. Data in the reports is refreshed once daily. This refers to cannabis that has been discarded but not yet destroyed. - The volume targeted for destruction, in millilitres. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report, in CSV format. Data in the reports is refreshed once daily. Historical reports display information on the day's opening inventory at 8:00 am local time, while standard reports display information based on snapshots taken at midnight. How to Configure Facility Information Settings

At the end of each reporting month, the CTLS report pulls values from the Reports module's Settings tab to populate the report's Business Stats section. A licence holder should review and adjust these fields before the end of each month to ensure reporting accuracy. Note*: Only users with Admin access should have permission to update facility information.* Required permission(s): facility_information_read, facility_information_update 1. In the Reports module, open the Settings tab. mceclip0.png 2. Enter the licence holder's cultivation, processing, or medical licence ID number in the field provided. mceclip1.png 3. Configure employee totals and processing area information in the fields provided. - Number of Employees mceclip2.png - Management FTE: The number of full time employees in senior and middle management positions. - Production FTE: The number of full time employees in supervisory, production, and general labour positions. - Administrative FTE: The number of full time employees in financial, administrative, clerical, and support positions. - Sales FTE: The number of full time employees in retail, wholesale, and customer support positions. - Other FTE: The number of full time employees in miscellaneous. - Processing Areas mceclip3.png - Licensed Growing Area: The licence holder's licensed indoor growing area, in square metres. - Licensed Processing Area: The licence holder's licensed processing area, in square metres. - Total Building(s) Area: The licence holder's total building area, in square metres. - Licensed Outdoor Growing Area: The licence holder's licensed outdoor growing area, in hectares. 4. In the Reports module, open the Health Canada tab in the Report Types section to access Heath Canada reports. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report in CSV format. In the Reports module, open the Complaints tab in the Report Types section to access Complaint reports. Complaint reports track the number and nature of complaints filed by clients. Hover over a report heading to view the report's mandatory and optional filter fields, and click on the report heading to generate the report, in CSV format. Data in the reports is refreshed once daily. By default, Historical reports display information on the day's opening inventory at 12:00 am local time, while standard reports display information based on snapshots taken at midnight. Note*: Generating a report with a large date range may take several minutes while data is collected. Try downloading reports periodically or wait until off hours for report genera*tion. The seed-to-sale software currently offers one Complaints report: - Complaints Report: A record of all complaints filed within a given time period. How to Generate an Audit Report

Audit reports provide a line-by-line breakdown of transactional event histories that contribute to CTLS and CRA reports. This provides you with a method to verify report totals, identify erroneous transactions, and make adjustments before submitting the reports. For example, you can verify totals in the Seeds - Reductions columns on the CTLS report by generating the Unpackaged - Seeds audit report to see each time seed inventory was reduced within the reporting period. If one of the reduction events was created in error, you can adjust the totals on the CTLS report accordingly. 1. In the Reports module, open the Monthly Reports tab. mceclip0.png 2. How to Generate a CTLS Reporting Template

A licence holder can download the CTLS Reporting Template on the first day of every month to pull data from the previous month. At midnight at the end of a reporting period–the final day of the month–Ample Organics takes a snapshot of the data in the licence holder's Seed-to-Sale environment and uses this data to populate the monthly report for the reporting period. Anytime you download one of these monthly reports, Ample Organics draws upon the most recent report snapshot for the selected month. This prevents you from generating reports with incomplete data halfway through a reporting period. You can, however, force the use of current data if the licence holder has made significant reporting corrections. Please note that the CTLS report generates all values in weight and volume fields to an accuracy of four decimal places. As the report can be submitted with values to a maximum of three decimal places, you will have to manually review the report each month and adjust the values before submitting the report. Kindly note that this report will not populate in full, and must be updated with data tracked outside of the Seed-to-Sale platform. Ample Organics has identified and acknowledged these gaps and will continue working towards supporting as much of the reporting requirements as we can throughout ongoing product updates. Audit reports provide a line-by-line breakdown of transactional event histories that contribute to CTLS and CRA reports. This provides you with a method to verify report totals, identify erroneous transactions, and make adjustments before submitting the reports. For example, you can verify totals in the Seeds - Reductions columns on the CTLS report by generating the Unpackaged - Seeds audit report to see each time seed inventory was reduced within the reporting period. If one of the reduction events was created in error, you can adjust the totals on the CTLS report accordingly. This describes any time the licence holder created a new batch, excluding batches created from wholesale plants received in the Flowering stage. To verify CTLS & CRA report totals, check that the number of plants created in each batch is accurate. Also, check that each plant's source is recorded accurately in the Action column. Plants created from seeds or cuttings are tagged as Additions - Produced. Plants created from wholesale plants are tagged as Additions - Received Domestic or Additions - Received Imported, depending on the plants' country of origin. To verify CTLS & CRA report totals, check that the weight of each output is recorded accurately. Reductions The Reductions section lists every time fresh bulk cannabis inventory reduced due to processing within the reporting month. This describes any time fresh cannabis underwent a Drying Work Order. To verify CTLS & CRA report totals, check that the weight output to each Work Order is recorded accurately. Medical - Active Client Registration mceclip4.png The Medical - Active Client Registration audit report pulls an itemized list of transactions that affected client registration totals within a reporting period. This includes a list of active registrations, transferred registrations, returned registrations, and refused registrations. Monthly Reports

From the Monthly Reports tab, you can generate and download reports that pull data for a selected reporting period of one calendar month. Some monthly reports are to satisfy monthly reporting requirements as laid out by Canadian government bodies–Health Canada, the Canada Revenue Agency, etc.–while other monthly reports assist the licence holder with inventory management and internal record keeping. mceclip0.png The Monthly Reports tab splits into three sections: Regulatory, Event History, and Unfinished Inventory. Regulatory Reports mceclip0.png In the Regulatory section, you can generate report templates to satisfy monthly reporting requirements as laid out by Health Canada and the Canada Revenue Agency (CRA). At midnight at the end of a reporting period–the final day of the month–the Seed-to-Sale software takes a snapshot of the data in the licence holder's Seed-to-Sale environment and uses this data to populate the monthly report for the reporting period. Anytime a user downloads one of these monthly reports, the Seed-to-Sale software draws upon the most recent report snapshot. This prevents you from generating reports with incomplete data halfway through a reporting period. You can, however, force the use of current data if significant reporting corrections have been performed. Healthcare Practitioners Report The Healthcare Practitioners Report lists information about each health care practitioner associated with all new client registrations during the reporting period. The report populates using physician data entered in the Medical Settings and Clients modules. To Generate a CTLS Healthcare Practitioners Report select a reporting period in the CTLS Healthcare Practitioners Report sub-section, and click Download. CRA Report To Generate a CRA Report, select a reporting period in the CRA Report sub-section, and click Download. These reports are useful for verifying data pulled to populate the monthly CTLS and CRA Reports. This section provides three options: - The Weight Events Report provides a method to verify all weight events across all Bulk Lots within a month, which allows them to reconcile inventory and verify other monthly reporting templates. - The Destruction Events Report provides a detailed view of every destruction weight event associated with Destruction Lots that were closed during the reporting period. - The Batch Events Report provides a detailed view of every history event that occurred across all batches during a given month. Reports Module

The Reports module houses data exports necessary for business reporting and regulatory compliance. Data in the reports is refreshed once daily. Historical reports display data based on snapshots taken at 8:00am local time, while standard reports display data based on snapshots taken at 12:00am local time. Monthly reports display data based on a snapshot taken at the end of each reporting month. mceclip0.png The Reports module splits into five tabs: Reports, Weekly Shipping, Client Order Counts, Monthly Reports, and Settings.Opening the Reports module brings you to the Reports tab by default. Reports On the Reports tab, you can generate and download a diverse menu of custom reports in CSV format. Here, reports are categorized by Report Type: Clients, Physicians, Orders, Products, Complaints, Inventory, Health Canada, Grow Reports, Destruction,and Wholesale. Select a Report Type and hover over a specific report to view filtering options for the report. Required fields for the report will be highlighted in red, while optional fields will be highlighted in green. Filter fields that are not highlighted are not applicable to the report and will not affect report filtering. Try downloading reports periodically or wait until off hours for report generation.* Weekly Shipping The Weekly Shipping tab enables quick configuration of shipping reports and displays tracking information, carrier, and shipping date. Client Order Counts The Client Order Counts tab provides lists of patients who have placed 0 to 5 orders.
